About Kids Inspire

Kids Inspire (KI) provides a range of therapeutic and community services across Essex (the charity is also growing into Thurrock and Suffolk) for service users who are impacted by mental health challenges and trauma. We have a range of highly qualified therapists offering strong management support and peer support throughout our team. Launched in 2007, by the CEO and Clinical Director, Sue Bell OBE DL, Kids Inspire has a track record of success, a highly engaged board of trustees, and a determination and drive to make a sustainable difference in the lives of children, young people and families.

We are seeking a highly motivated, enthusiastic and organised HR Assistant to provide professional, confidential and efficient HR administration support to our HR Manager and the wider team where needed.

Job Title: HR Assistant

Location of the Job: Head Office, Kids Inspire, Hargrave House, Hollycroft, Great Baddow, CM2 7FW

Contractual Terms: Permanent Contract

Hours: Part time 15 hours per week, Mon to Fri with flexibility to work evenings and weekends when required.

Salary: Band 4 (£25,204 to £26,676 FTE) subject to experience

Key responsibilities include, but are not limited to:

  • assisting with the recruitment processes: placing advertisements, managing the application process, reviewing CVs, arranging interviews, ensuring all pre-employment checks and safeguarding training is undertaken prior to employment start date

  • undertake Safer Recruitment Training when required

  • assist with daily internal and external enquiries related to the HR Function, escalating where necessary to the HR Manager

  • provide administration support of the monthly payroll process, including recording of contractor fees on Xero

  • manage safeguarding training for new and current staff using an online platform

  • manage DBS applications for new staff and repeat applications for current staff, in line with company procedure

  • manage holiday requests and sickness absence using an online platform

  • respond to reference requests and school third party checks documentation

  • assist with auditing employee records annually

  • maintain up-to-date employee records and ensure data accuracy in our HRIS

  • ad hoc reporting, correspondence, and administrative duties

  • ensure adequate numbers of fire officers and first aiders are in place

  • ensure all HR tasks are completed on time and meet employment legislation and government guidelines

  • attend business team and full team meetings

Requirements and conditions

  • Proven excellent HR administrative experience

  • CIPD Level 3 Foundation Certificate in People Practice (or already enrolled and working towards this)

  • Good knowledge of Safer Recruitment principles

  • Good knowledge of employment law

  • Excellent written and verbal communication skills

  • Excellent interpersonal skills

  • An eye for detail

  • A good level of computer literacy, including Outlook, Word and Excel

  • Ability to meet tight deadlines under pressure with good organisational and planning skills

  • Able to work independently and as part of a team

  • A ‘can do’ attitude

  • An understanding of the importance of confidentiality

  • To carry out the above tasks in an efficient, pro-active and effective manner.

  • To act as ambassador for Kids Inspire
