Holiday Club terms and conditions   

Thank you for your interest in our Holiday Club.  Please read these terms and conditions before using our services.  

Pupil Premium/lower income families  

Holiday clubs are provided free of charge as part of our mission to support lower income families. 

Priority will be given to families in receipt of pupil premium, free school meals or those with a lower income.  

Multiple bookings

We want to be able to offer a space to as many children as possible. Please be aware that if you have requested multiple dates (in the summer holidays), priority will be given to children who have not attended a previous holiday club within this holiday period. 

Cancellations 

If your child is unable to attend, we require 48 hours notice of cancellation. If you need to cancel, you must make direct contact with the team using this email reception@kidsinspire.org.uk or by calling 01245 348707.  

If you book a club and cancel more than twice, we will reassess our ability to provide this service to you.  

If less than 48 hours notice is given without sufficient cause, we reserve the right to cancel future bookings or reject future applications.  

In exceptional circumstances we may have to cancel a holiday club, however, we will aim to give as much notice as is reasonably possible and will suggest an alternative booking date.

Safeguarding

Young people’s safety is our priority at Kids Inspire. The holiday clubs will have staff present who have current Enhanced Disclosure and Barring Service (DBS) checks. There will be additional volunteers present who may not have DBS checks, these volunteers will not be left alone with the young people.

Managing behaviour

We expect that all children and young people will behave in a manner that allows themselves and the others present to stay safe and have an enjoyable time.   

If a member of staff believes that a young person’s behaviour is detrimental to others present, they will be spoken to and asked to change their behaviour. If there is no change, the child’s responsible adult will be called and asked to collect their child. This is to ensure the safety of all supporting at holiday club, all holiday club attendees and that everyone can enjoy their time with us.  

Feedback

Feedback both positive and negative allows us to grow and improve our services. This service provision is free of charge, we only ask that where possible you provide honest evaluation after delivery.  

Children and young people attending holiday clubs will be asked to provide feedback on the activities, food and overall clubs during the sessions.  

Confidentiality

All Kids Inspire staff and volunteers are bound by strict confidentiality policies and procedures. 

First aid

There will be trained first aiders on site. First aid will be given to children as needed. If the child’s condition is serious or does not improve, a responsible adult will be called and asked to collect the child.  

In the event or serious injury or incident and the child needs to attend A&E and ambulance has been called, the child’s responsible adult will be called and informed. If the adult is due to arrive after the ambulance, an adult with a DBS will accompany the child to hospital.  

Equality, diversity and inclusion

Kids Inspire promotes and encourages children and young people with disabilities, additional needs and/or diverse backgrounds to attend our services. In order for our holiday clubs to be fully inclusive and accessible we ask that parents/carers inform us of the additional needs of attendees prior to their attendance, so that we can amend any practices required. 

However, if your child normally receives 1:1 support at school then the holiday club will not be suitable for them due to the number of staff/volunteers present.  

Publicity

In order for Kids Inspire to receive donations to fund projects, we rely heavily on marketing and publicity. During our holiday clubs, we may take photographs or videos to use for media purposes. You will be given the option to provide consent for us to use photographs or videos, and for these to be used anonymously when applying for potential support from funders and stakeholders.  

Providing photo and video consent is not a requirement to attend holiday clubs. No child will be excluded from activities if we do not have permission for photos/videos.  

Activities

For each holiday club we will organise appropriate activities that are fun, engaging and inclusive. Due to circumstances outside of our control, activities may need to change at short notice. We will endeavour to provide as much notice in relation to the change as soon as possible.  

What to bring

Please dress your child in weather appropriate clothes. We will always try to make the most of our outside space so please pack a raincoat and bring your child already wearing sunscreen.  

Please make sure your child has the following:  

  • Sun hat 

  • Raincoat 

  • Closed toe shoes 

  • A labelled water bottle 

  • Labelled sunscreen 

Sunscreen

Children will be encouraged to apply their own sunscreen during lunchtime at holiday clubs during the warmer months. Kids Inspire staff and volunteers will not be able to apply cream for children so please make sure they are able to do this before signing up to holiday club.  

Food

A lunchbox will be provided for each child, and you will be asked for your child’s choice of sandwich. There will be fruit available throughout the day and the children will receive an afternoon snack. Fruit juice will be available at lunch time and water bottles can be refilled.  

Booking information

You will be asked to provide information on your child and your contact details to ensure we can keep your child safe. We cannot accept substitutions of children on the day. As with cancellations, we require 48 hours notice for a substitution. These are not guaranteed and at the discretion of Kids Inspire. If accepted, you will be required to complete another booking form for the new child so that we have their information. 

We will need a member of staff to help us to set up on the day. Their email will be requested within the booking form.
